Current Duties

• Maintain complete and accurate books of accounts, including vendor payments, coding and posting invoices, adjusting entries, accruals, and other required transactions
• Ensure the accuracy and timeliness of all financial information
• Maintain a complete audit trail and supporting documentation for all financial and bookkeeping activities
• Record bi-weekly payroll into accounting files, enter and communicate returned deposits, and re-issue cheques when required
• Process month-end transactions including merchant fees, ATM adjustments, deposit adjustments, and other recurring entries
• Process LCBO orders and payment on the weekly basis
• Process intercompany chargebacks (e.g., product transfers, labour transfers etc)
• Oversee daily accounting operations including journal entries, accounts payable, accounts receivable, and reconciliations
• Oversee issuing of cheques and ensure timely payment of invoices
• Reconcile transactions from third party platforms (Clover, merchant accounts, Uber, Italfoods etc.) with bank accounts and enter into the accounting file
• Reconcile credit cards monthly and investigate discrepancies
• Investigate and resolve discrepancies between the POS system and merchant accounts, record adjusting entries, and communicate outcomes
• Complete credit applications and set up online third-party platforms as required
• Establish, implement, and monitor internal controls to ensure accounting activities comply with legal, regulatory, and company policies
• Ensure compliance with all financial reporting requirements and deadlines
• Complete month end procedures
• Complete HST and WSIB remittances by deadlines and ensure payments are remitted on time
• Facilitate the annual renewal of City of Ottawa Food and Amusement permits and Entandem licenses
• Assist in hiring, training, mentoring, and developing accounting staff
• Provide advice and guidance on accounting matters including financial systems, record keeping, analysis, and reporting
• Support staff in resolving accounting issues and improving workflow efficiency
• Promote a culture of accuracy, accountability, and continuous improvement within the administration team
• Work closely with operations to investigate issues, discrepancies, and unusual transactions
• Communicate effectively with internal departments and external partners to support financial operations
• Maintain prepaid accounts and record expenses in correct periods accordingly
