Document Controller

Key Responsibilities
· Document Management & Control
· Establish and maintain the project document control system (electronic and hard copy).
· Manage document numbering, revision control, distribution, and archiving.
· Ensure compliance with project-specific document control procedures and ISO standards.
· Track incoming and outgoing correspondence (RFIs, transmittals, technical submittals, NCRs, etc.).
· Maintain up-to-date document registers and logs.
Technical Documentation (BESS-Specific)
· Control and manage engineering documents including:
· Electrical single-line diagrams (SLDs)
· Protection and control schematics
· Civil and structural drawings
· SCADA and EMS documentation
· Commissioning procedures and test reports
· Coordinate with EPC contractors, OEMs, grid operators, and consultants.
· Ensure proper filing of grid compliance documentation (e.g., grid code requirements in Germany).
Reporting & Coordination
· Prepare weekly/monthly document status reports.
· Monitor document submission schedules and follow up on overdue items.
· Support audits and internal quality reviews.
· Assist the Project Manager and Engineering Team with document retrieval and verification.
🇩🇪 Regulatory & Compliance
· Ensure documentation complies with German regulatory requirements and permitting conditions.
· Maintain records required for TÜV inspections and grid operator approvals.
· Support handover documentation for client and authorities.
Qualifications & Experience
Required:
· Minimum 3-5 years of experience in document control within construction, energy, or infrastructure projects.
· Experience on renewable energy, power generation, substations, or BESS projects preferred.
· Familiarity with document management systems (e.g., Aconex, Procore, SharePoint, EDMS platforms).
· Strong understanding of revision control and technical drawing management.
· Fluent in English; German language skills highly desirable.
· Strong organizational skills and attention to detail.
Preferred:
· Experience working on German energy projects.
· Knowledge of grid compliance documentation.
· Familiarity with ISO 9001 quality management systems.
· Experience supporting commissioning documentation and final handover dossiers.
