Module 1

A filing system people actually follow

Starting from a genuinely messy shared drive, you design the folder tree, naming convention and version rules that let anyone find any document in under a minute.

Lessons included

  • Auditing the current mess
  • Folder trees that mirror workflows
  • Naming conventions that sort themselves
  • Versioning without special software
  • Permissions and shared access

You will be able to

  • Design a folder structure that mirrors how the office actually works.
  • Apply a date-first naming convention that sorts itself chronologically.
  • Replace "final_FINAL2" chaos with explicit version numbering.
  • Set sharing permissions that protect sensitive folders without blocking work.

Name files so they find themselves

A file name should answer three questions without being opened: what is it, when is it from, which version is it. Compare "contract final v2 NEW.pdf" with "2026-03-14_acme_service-contract_v03.pdf" — the second sorts chronologically, groups by client and states its version. Adopt date-first names and "final" disappears from your vocabulary: there are only numbered versions.

Module 2

Calendars, meetings and travel that run themselves

Working three calendars at once — a director's, a team's and a meeting room's — you schedule across conflicts, prepare meeting packs and build a two-city travel itinerary with a plan B.

Lessons included

  • Shared calendars without collisions
  • Scheduling tools and polls
  • The meeting pack method
  • Travel booking and itineraries
  • Defending the calendar

You will be able to

  • Resolve scheduling conflicts across shared calendars without email ping-pong.
  • Prepare a meeting pack: agenda, attendees, documents and logistics.
  • Book a two-city business trip and assemble its itinerary with alternatives.
  • Protect focus time and recurring commitments when demands collide.

Module 3

Office writing: emails, minutes and notes

One busy morning of correspondence, drafted end to end: status emails, a set of meeting minutes with owners and deadlines, and an internal note that survives being skimmed.

Lessons included

  • Subject lines and first sentences
  • Emails that get answered
  • Minutes: decisions, owners, deadlines
  • Internal notes and memos
  • The three-pass proofread

You will be able to

  • Write emails whose subject line and first sentence do most of the work.
  • Capture minutes that record decisions, owners and deadlines, not conversation.
  • Draft an internal note that a skimming reader still acts on correctly.
  • Proofread your own writing with a repeatable three-pass check.

Module 4

Invoices, vendors and quiet automation

The money paperwork comes last: a tracking sheet for invoices and expenses, a vendor order cycle closed with e-signature, and three repetitive tasks handed over to the office suite.

Lessons included

  • Invoice and expense tracking
  • Vendor orders step by step
  • E-signature workflows
  • Small automations, big minutes
  • Capstone: the operations one-pager

You will be able to

  • Track invoices and expenses in a sheet with status, due date and owner.
  • Run a purchase from quote request to signed order using e-signature.
  • Automate a mail merge, a document template and an inbox rule.
  • Assemble an office operations one-pager a substitute could run from.

Module 5

Administrative operations capstone

You run a realistic office week from intake to executive handoff, using controls for documents, calendars, vendors, invoices and recurring work.

Lessons included

  • Work intake and priority rules
  • The daily and weekly control board
  • Exception handling and escalation
  • Continuity, privacy and audit evidence
  • Capstone: run and hand off the office week

You will be able to

  • Prioritize a mixed administrative workload against deadlines and service levels.
  • Reconcile documents, calendar commitments, invoices and vendor actions in one control sheet.
  • Deliver an auditable operations pack that another administrator can continue without interruption.

What you'll learn

  • Organize a digital filing system with naming and versioning conventions.
  • Manage calendars, meetings and travel with shared scheduling tools.
  • Write professional communications: emails, minutes and internal notes.
  • Keep basic control of invoices, expenses and vendor orders.
  • Automate simple repetitive tasks using office suite features.
