• Handle procurement of construction materials, MEP materials, engineering consumables, tools, and equipment required for project execution.
• Receive and verify material indents from authorized personnel before processing.
• Check stock availability with stores and confirm requirements before raising purchase enquiries.
• Obtain quotations from multiple vendors and suppliers.
• Conduct rate analysis, commercial evaluation, and price negotiations with vendors.
• Prepare comparative statements (Comparative Sheets) for management review and approval.
• Finalize rates and prepare Purchase Orders (POs) as per company procurement procedures.
• Obtain approval from authorized management personnel before releasing POs.
• Follow up with suppliers to ensure timely delivery of materials at site.
• Manage contractor work orders and service contracts for commercial building projects.
• Maintain records of all contracts, work orders, and vendor agreements.
• Monitor Annual Maintenance Contracts (AMC) for HVAC, lifts, DG sets, fire-fighting systems, STP, electrical systems, and other building services.
• Ensure timely renewal of AMCs to avoid operational disruptions.
• Maintain AMC renewal trackers and contract compliance records.
• Coordinate with stores for stock verification and material availability.
• Ensure proper documentation of material receipts through Goods Receipt Notes (GRN).
• Monitor inventory levels and support stock planning to avoid shortages.
• Verify supplier and contractor bills based on site verification reports, work completion status, and GRN records.
• Ensure bills are supported with proper documentation before processing.
• Identify discrepancies in invoices and raise Debit Notes where required.
• Follow up with vendors for Credit Notes against excess billing, damaged materials, or rate differences.
• Maintain proper records of invoices, debit notes, and credit notes.
• Submit verified invoices to the Accounts Department for payment processing.
• Coordinate with vendors and accounts teams for timely payment release as per agreed credit terms.
• Track outstanding payments and maintain vendor account reconciliations.
• Ensure compliance with company procurement policies and commercial procedures.
