• Maintain the office premises with a good workplace and always ensure timely maintenance of the office equipment.
• Provide necessary office stationery to the business team and provide fruits and snacks to the business team as needed.
• Maintain the entry of visitors, vendors, and partners in the partners/vendor register with the assistance of the office attendant and update the same in the tracker weekly.
• Significantly set up a new office for the branch from a co-working place.
• Support the business team in the BTL activity assigned.
• Align the vendor with the business team on any activity to be executed.
• Collect the quotation in time, raise the PR, and get it approved to raise the PO.
• Request the business cards for the business team post request from them.
• Make available the business inventory like demand pamphlets, partner's kits, and vehicle branding material.
• Ensure that all the BTL activities are executed on time.
• Seek the police permission required for any kind of BTL activity.
• To find a new vendor if the team is not satisfied with the existing vendor.
• Support and advise the business team to conduct any new BTL activity.
• Support the business team in making content and recording IVRs.
• Arrange all the events as suggested by the Central HR.
• Arrange the snack boxes with the budget given.
• Decorate the office if required.
• Make every possible arrangement regarding the team.
• Timely completion of the quarterly dinner and team outing.
• Arrange the quarterly dinner parties and team outings.
• Arrange cricket matches every month on turf.
• Take care during religious events if any misconduct doesn't happen.
• Give proper feedback to the Central HR regarding organizing the events.
• Educate the business team if any event is to be happen.
• Hygienically keep the office premises.
• Carry out the deep cleaning of the Ganaptiji and Laxmiji idols, office furniture, glass, chairs, desks, dust bins, and electronic appliances twice a week.
• Always hygienically keep the pantry area.
• Provide the water jars on a timely basis to avoid a shortage of water facilities to the employees.
• Purchase the housekeeping materials whenever required to avoid any delay in the cleaning process.
• Verify that all the utensils used by the employees are properly cleaned and kept orderly.
• Educate the employees to use the electrical appliances such as fans, lights, Oven and switch off them when not in use.
• Keep liaison with the owner for the maintenance of the lift and building premises in good condition.
• Pay the electricity bills, wi-fi on time.
• Effectively utilize the petty cash.
• Always keep the purchase of any item in a minimum amount.
• Thoroughly negotiates with the vendor for any repairs.
• During any event held utilize a minimum budget for it.
• Maintain an extra worksheet for expenses of petty cash to avoid any discrepancies.
• Update the cost tracker on a timely basis.
• Upload the invoices in the happay card in time.
• Submit the happay card report before the 25th of every month.
• Also update the monthly admin sheet and submit it before the 5th of every month.
• Optimize the sports budget according to the budget allotted.
• Identify the vendor according to the activity required.
• On time properly received quotation from them and processed the PR and PO.
• Constant interaction with them to carry out the BTL activity and complete the same on time.
• Collect the invoice post the activity is completed and process the same to the finance team for payment.
• Make sure that all the payments are made according to the timeline.
• Ensure to onboard non-GST vendors for cost savings.
• Ensure to make the payment of office rent, tea vendor, garland vendor, water jar vendor, and stationery vendor on time.
• Update the payment in the payment tracker on time.
• In case any vendor's work is not satisfactory provide enough time to improve his quality of work if not then find an alternative for it.
• Involve the business team regarding vendor selection, price negotiation, and general discussion.
• Assist the HR team with onboarding for the new employee.
• Assist the compliance team in case the new joiners fail to provide their PF documents.
• Assist the IT team with the allocation of the assets.
• Provide the new joiner from the business team his business cards, and ID cards and for giving t-shirts.
• Assist the finance team with filling the provision tracker within the 25th of every month.
• Ensure proper provision has been filled in the tracker.
• Upload the invoices received from the vendor in the TYA suite post proper GRN.
• Assisted the IT team with the installation of the firewall and in the payments of wifi services (Airtel and Trunet).
• Update the IT asset tracker on time.
• Assist the CGE team to carry out the BTL activities in time without any delay.
• To collaborate with different colleges for the recruitment drive.
• Until now we have conducted three drives in which one was successful.
• The first drive was conducted at Navjeevan Management college and have hired one employee from it.
• In the second drive, the candidates from MET College performed excellently but failed in the field round.
• We conducted their drive on 21.03.2025 at PVG College in which we selected 5 candidates, their field round and final interview will be conducted on 25.03.2025.
• We got appreciation letters from Navjeevan and PVG colleges.
• We are in contact with Amrutvahini College, Sangamner for the next drive in the future.
• Through the drives we can get qualified as well as fresher candidates who will become an asset to the organization.
• Through drives our organization is getting fame in the educational institutions also.
• Impact of the drive is that the institutions have started using our application.
