1- Operations Duties a. Collaborate across project goals to manage logistical, operational, and administrative support for technical activities.
b. Organize, distribute and carry out responsibilities and tasks to supporting staff and ensure delivery of expected outcomes and products.
c. Manage and participate in all office administration and operational functions. Including but not limited to:
Responsible for the day-to-day management of the Project Office;
Directs and participates in all finance staff and financial functions;
Supervise Operation staff, office helpers, and office cleaning
Procurement distribution, proper reception, and accounting for non-expendable property (NXP), expendable property (EXP,) and information technology equipment and systems;
Maintain up-to-date inventory and formal yearly inventory physical verification of EXP and NXP And any other accountability requirements LCN or the Iraqi government will require;
Manage the facilitation of special events, staff meetings, and workshops as requested;
Update project contact information (tel. directory, mailing list, staff list);
Manage project documentation according to the LCN filing system;
Manage insurance policies e.g. vehicles, health, etc.;
Ensure strict compliance with LCN, and UNHCR safety and security guidance;
Maintain and update the LCN Safety and Security Guidelines and ensure compliance;
Oversee the maintenance and update the LCN Emergency Contact Rosters and phone tree.
2- procurement Duties
Direct and participate in all procurement functions including but not limited to:
a. Full life cycle of procurement activities of goods and services according to LCN procurement guidelines rules and regulations;
b. Participate in the project procurement process of goods and consulting services in assisting the procurement process in drafting requests, analyzing proposals, drafting contracts, negotiating contracts and prices, and preparing the required documentation;
c.Estimate and establish cost parameters and budgets for purchases
Create and maintain good relationships with vendors/suppliers
Make professional decisions in a fast-paced environment
Maintain records of purchases, pricing, and other important data
Review and analyze all vendors/suppliers, supply, and price options
Develop plans for purchasing equipment, services, and supplies
Negotiate the best deal for pricing and supply contracts
Ensure that the products and supplies are high quality
Maintain and update a list of suppliers and their qualifications, delivery times, and potential future development
Work with team members and procurement manager to complete duties as needed
