CIEE Florence is looking for a vivacious and responsible Program Assistant to be part of our dynamic team. The Program Assistant helps organize and chaperoning cultural activities for the students, assists in Program excursions and health emergencies, and other administrative tasks.
The PA is responsible for supporting the high school team with pre- and post-arrival projects, including reviewing students' documents, help students navigate the city, and daily operations such as supervising and accompany the group in their outings.
This is a position in direct contact with students and program leaders, very active and outdoorsy.
Be a point of contact for students offering guidance and information to help them during their stay. Be attentive and available to listen to their needs and help them problem solve issues or guide students to appropriate services related to student life including housing, health, safety, and security, travel, and other issues.
Help deal with student housing/dormitory related matters
Support Program Leader(s) during all activities/excursions (also on weekends)
Help manage logistical requirements of all activities/excursions (ticket purchases, reservations, etc)
Check dormitories prior to student arrival for cleanliness, functioning of amenities including Wi-Fi to ensure all rooms, supplies, and facilities are prepared for their arrival
Maintain close contact with lodging staff, Program Leaders to organize laundry, cleanings, room changes
Help problem-solve when a housing issue arises
Make appointments for students, taking students to the doctors and/or offering to translate when appropriate
Prepare emergency cards and help with picking up students at the airport on arrival
Guide students during orientation including tours of Florence, events, and orientation
Prepare presentations and present aspects of the presentations when needed
Help organize all details for day trip excursions including itineraries, lodging, room bookings and remain in contact with students
Be available to meet emergency needs outside of office hours at times. Also, be willing to perform other tasks as needed.
Bachelor´s degree or international equivalent
Previous experience working with adolescents is a plus
Open minded and non-judgmental approach to educating
Patience and sense of humor
Excellent oral, written, and interpersonal communication skills
Ability and willingness to remain flexible, shifting between projects based on the seasonality of the program, with a proactive attitude, and eager to provide support to different business areas
Ability to work effectively in a collaborative team environment
Strong communication skills in Italian and English
Strong computer skills and familiarity with Microsoft Office Suite
Commitment to customer service and professionalism
Available for travel on student day trips on weekends and during some evenings
Demonstrated integrity, self-motivation, and a proactive, "can-do" attitude
Ability to apply good judgment under pressure and to make reasoned and informed decisions in sensitive situations
