Dispatch & Logistics Specialist
Job description
We're currently looking to hire a Dispatch & Logistics Specialist (Operations Specialist) to support a fast-growing operations and logistics platform that powers real-world & on the ground operations (e.g., delivery robots, on-demand moving boxes, etc.) and high-volume brand event activations across the United States.
This role is for someone who can stay calm in high-stakes, time-sensitive moments and keep many moving parts on track - shipments, work orders, drivers, inventory, and on-the-ground operators. You'll act as a human "dispatch + monitoring" layer: looking ahead, catching issues early, and coordinating fixes when plans change.
You’ll work closely with the core operations and project teams to ensure every job is executed correctly - especially during weekends, early mornings, and other peak periods. If you like triage, coordination, and making sure nothing falls through the cracks, this role is for you.
Responsibilities:
- Monitor daily and weekend operations (often starting early) to confirm critical tasks are acknowledged and executed on time (e.g., truck arrivals, pickups, deliveries, event milestones).
- Coordinate with network operators, warehouse partners, and on-site teams to ensure inventory is received, quality-checked, counted, and staged for upcoming deployments and events.
- Track inbound and outbound shipments (pallets + parcels), resolve exceptions, and verify that inventory is in the correct place at the correct time.
- Dispatch and coordinate transportation as needed (e.g., routing a driver, arranging trucks/U-Hauls, confirming pickup/drop-off windows).
- Serve as the first line of escalation when last-minute changes occur — identify the issue, communicate clearly, and drive it to resolution.
- Maintain accurate updates in internal tools (work orders, inventory systems, trackers) so stakeholders have a single source of truth.
- Provide proactive look-ahead support by reviewing upcoming schedules and deliveries to prevent problems before they happen.
- Collaborate with operations leadership and the product/engineering team by sharing on-the-ground feedback to improve workflows, tooling, and automation.
- Create and improve SOPs/checklists and help standardize best practices as the business scales.
Requirements:
- 3+ years experience in operations, logistics, dispatch, 3PL/warehouse coordination, or on-demand staffing operations (or equivalent).
- Hands-on experience coordinating time-sensitive work where “you can’t drop the ball” (e.g., day-of event logistics, last-mile operations, staffing dispatch, fleet ops).
- Comfortable working weekends as needed to support live operations.
- Strong written and verbal communication — able to keep multiple stakeholders aligned in fast-moving situations via calls, texts, chats, emails, or other platforms.
- Highly organized with excellent attention to detail; able to multitask without losing accuracy.
- Proficient with common ops tools (Google Workspace/Excel, Slack, Airtable, Notion, Asana, etc.) and able to learn new systems quickly (inventory/work-order platforms, CRMs, ticketing tools).
- Self-starter mindset: asks questions, takes ownership, and continuously improves processes.
Salary and Benefits:
