Job Description:
We are seeking a highly organized and proactive Administrative Assistant to provide remote administrative support to a Canadian client. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to manage multiple administrative tasks in a fast-paced environment.
Responsibilities:
- Provide day-to-day administrative support to internal teams and management.
- Manage calendars, schedule meetings, and coordinate appointments across multiple time zones.
- Prepare, proofread, and format correspondence, reports, presentations, and business documents.
- Respond to emails, manage inboxes, and prioritize communications.
- Maintain accurate records, databases, and e- filing systems.
- Perform data entry and capturing and ensure information is accurate and up to date.
- Coordinate meetings, prepare agendas, take meeting minutes, and follow up on action items.
- Conduct online research and prepare reports or summaries as required.
- Assist with document management and administrative process improvements.
- Liaise professionally with clients, vendors, and internal stakeholders.
- Support ad hoc administrative projects and operational initiatives.
Qualifications:
- 2–4 years of experience as an Administrative Assistant, Executive Assistant, Office Administrator, or similar role.
- Previous experience supporting Canadian businesses or clients is highly preferred.
- Excellent written and verbal English communication skills.
- Strong organizational skills with exceptional attention to detail.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Experience using Google Workspace, Microsoft Teams, Zoom, and other virtual collaboration tools.
- Strong time management skills with the ability to prioritize multiple tasks and deadlines.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience using CRM systems or project management tools is an advantage.
- Ability to work independently in a fully remote environment.
- Ability to work in the Canadian time zone.
