Position SummaryThe Controller is a newly created role responsible for overseeing all accounting, financial reporting, and internal financial controls for the organization.
This position centralizes duties previously handled by the Bookkeeper, the Executive Director, an external CPA, and the audit preparation team.
The Controller will manage all day-to-day accounting operations, ensure accurate financial reporting for both foundation operations and funds managed for philanthropic purposes (DAFs, scholarship funds, relief funds, endowments, agency funds, etc.), support audits and tax filings, and serve as the primary financial liaison with external partners, including investment managers and auditors.
Accounting & Financial Operations
Manage all daily accounting activities, including cash receipts, cash disbursements, and general ledger maintenance
Process and reconcile donations from individuals and corporations (cash, check, and credit card), including gifts to new and existing funds
Manage disbursements for grants, scholarships, fund activity, giving circles, vendor payments, and staff reimbursements
Prepare and post all journal entries
Reconcile all bank and investment accounts
Reconcile credit card activity, including donation platforms and organizational credit cards
Reconcile direct deposits and payroll-related transactions
Allocate administrative and investment fees across all funds
Prepare ad-hoc financial reports for fundholders as needed
Payroll & Human Resources Support
Record payroll, taxes, and benefits in the accounting system
Manage new employee onboarding paperwork and benefits enrollment through HCP
Cash & Investment Management
Monitor and manage organizational cash flow and transfers required through multiple cash accounts
Prepare and execute transfers between accounts (cash accounts and 40+ investment accounts), including calculations and documentation
Serve as primary point of contact with Merrill Lynch and UBS, including:
Facilitating communication between fundholders and Merrill Lynch when needed
Financial Reporting & Board Support
Prepare monthly and periodic financial statements
Prepare financial reports and schedules for Board Meetings for Executive Director review
Support leadership with financial analysis and forecasting
Audit, Tax & Compliance
Lead audit preparation and serve as primary internal contact for auditors
Prepare and maintain audit support documentation, including:
Entity-level and IT controls
Walkthroughs for significant transactions
Trial balance and preliminary analytics
Prepare rollforward reports, including:
Support annual Form 990 preparation, including:
Preparing all requested schedules and documentation
Participating in meetings with the external tax team
Bachelor's degree in accounting, Finance, or related field (CPA preferred but not required)
Minimum of 7 years of accounting or financial management experience (nonprofit experience preferred, community foundation financial management a STRONG plus)
Strong knowledge of GAAP and nonprofit accounting standards
Detailed experience with audits, financial reporting, and tax filings (Form 990)
Proficiency with accounting software and payroll systems (Preference will be given to those with Foundant expertise/knowledge)
Experience with managing and financial reporting/accounting for investment accounts required.
High attention to detail with strong organizational and analytical skills
Ability to manage multiple priorities and deadlines independently
Strong communication skills and comfort working with external partners and stakeholders
$95-105,000 annually (depending on experience)
This role is critical to strengthening financial operations, improving internal controls, and supporting the organization's growth. The Controller will play a key leadership role in building sustainable financial systems and ensuring transparency and accuracy across all funds and programs.
