The Role
This role sits within the property management division of a Brooklyn-based nonprofit affordable housing owner-operator with a portfolio that spans Low-Income Housing Tax Credit (LIHTC) properties, older adult and assisted living housing, and scattered-site residential and retail. The organization manages housing for communities that depend on stability, so the property manager here is not a background function, they are central to how the organization shows up for residents day to day.
The person in this role will carry a portfolio of approximately 280 residential units. That means managing relationships with tenants across a range of housing types and needs, keeping buildings running within budget, coordinating with maintenance supervisors and internal legal and compliance teams, and staying on top of the administrative work that keeps affordable housing compliant and occupied.
This is not a leasing or business development role. It is an operational and relationship management role, and the work is grounded in accountability to tenants, many of whom are older adults or have limited housing options elsewhere.
What This Role Is, and Is Not
This role is:
- Day-to-day operational ownership of a mixed portfolio of roughly 280 affordable residential units
- A primary point of contact for tenants, handling communication, arrears follow-up, recertifications, and referrals to supportive services
- A coordination role, working across maintenance, leasing, legal, and compliance to keep properties occupied, code-compliant, and on budget
- A field-forward position that includes apartment inspections, move-in and move-out walkthroughs, and occasional after-hours emergency response
This role is NOT:
- A remote or hybrid position. Buildings require a physical presence
- A senior leadership or asset management role
- A fit for someone who wants minimal tenant interaction
- A pure administrative position. Execution on the ground matters as much as paperwork
Required Experience & Traits
- Minimum 2 years of property management experience, affordable housing experience is strongly preferred
- Bilingual in Spanish and English, strongly preferred given the resident population
- LIHTC certification required within 6 months of hire (support for obtaining this may be provided)
- Proficient in Microsoft Office, particularly Excel at an intermediate to advanced level; Yardi experience is a plus
- Strong written and verbal communication skills, including comfort navigating difficult conversations with tenants in arrears or distress
- Organized and detail-oriented enough to manage recertifications, purchase orders, invoices, and tenant files across a portfolio without things slipping
- Able to work across departments and levels, maintenance staff, compliance teams, legal, and senior management, without friction
- A high school diploma is required. A Certified Housing Assistant Manager credential is a plus, but hands-on experience and judgment matter more than credentials here
Key Responsibilities
Tenant Engagement
- Serve as the primary tenant-facing contact, responding to questions and concerns promptly and in line with the organization's communications policy
- Coordinate lease renewals with the leasing manager and follow up with tenants on balances 30 or more days past due, by phone and in writing
- Refer tenants to supportive services or benefit assistance programs when needed, and maintain accurate, complete tenant files
Building Operations
- Oversee day-to-day building operations with an eye on budget adherence, approving invoices under $1,000 and submitting purchase orders for supplies and equipment
- Manage the unit turnover process to bring vacant units to occupancy-ready status within 30 days, including move-in and move-out inspections
- Assign and coordinate work with maintenance staff in cooperation with building maintenance supervisors, and ensure code violations and repair issues are resolved in a timely way
Compliance & Recertification
- Ensure annual recertifications are completed on schedule across the portfolio
- Work with the compliance team to stay current on regulatory requirements, particularly for LIHTC and older adult housing programs
- Maintain documentation and communication standards required for regulatory and internal audits
Legal & Collections Coordination
- Identify tenancy situations that may require legal action and coordinate referrals to the legal and collections department
- Cooperate with legal staff on collections activities beyond standard follow-up
- In older adult buildings, collect rent payments directly
Emergency & Cross-Team Communication
- Maintain clear communication with management and compliance during operational emergencies, including posting required notices for tenants and staff
- Be available on an occasional basis outside of regular business hours to respond to building emergencies
