• 1.Procurement & Supplier Administration - Request quotations from suppliers & following up on outstanding information and quotes
• Submit quotes to customers for approval
• Tracking and reporting outstanding purchase orders
• 2.Invoices & Document control - Invoice all finished job cards and quotes
• Recieve every goods from suppliers on fleet domain /close all recieved purchase orders
• Updating invoicing tracker monthly
• Updating income & expenditure report om excel monthly
• 3. Compliance and Safety Administration - Maintain and update safety file
• Keep up-to-date database of compliance requirements, deadliness & expiry dates including such as: -Medicals, -SHE REP, First Aider & fire fighter inspection checklists, -Ensuring Tool box talk is communicated timely
• 4.Asset, Stationery and PPE Management - Order required stationery
• Order & issue PPE
• 5. Records & Information management - Maintain and update electronic folders for suppliers and customers
• File, attach and archive all relevant documents
• 6.HR Administration - Employee monthly timesheets and register
• Overtime Claim forms
• Updating monthly overtime templates and leave templates
• Processing all Payroll stuff and sending to HR department at the Head Office
