Key Accountable Responsibilities
Recruitment and Onboarding
- Manage and update all new role requests on the recruitment tracking spreadsheet, ensuring that Staff Requisition Forms (SRFs) are accurately completed, approved, and signed off by the relevant Director and HR Executive.
- Ensure full compliance with the recruitment process by coordinating timely job postings and monitoring the progress of each vacancy through the hiring cycle.
- Publish internal job adverts via intranet communication and advertise externally on our ATS (Simplify.hr) and Careers24 to attract a diverse pool of candidates.
- Conduct interviews (telephonic, virtual, and face-to-face), ensuring a structured, fair, and competency-based assessment of candidates
- Coordinate pre-employment screening by sending candidate details to investigators for criminal background checks and promptly communicating findings to hiring managers
- Process applicant information on SAGE 300 PEOPLE and Netcash for ITC checks and maintain updated records on relevant recruitment databases and spreadsheets.
- Experienced in using the Simplify.hr Applicant Tracking System (ATS) to streamline the end-to end recruitment process.
- Skilled in applying advanced ATS functionalities filters, tags, automated workflows to efficiently source, screen, and shortlist suitable candidates.
- Capable of generating and analyzing recruitment reports and metrics to support data-driven hiring decisions and improve recruitment strategies.
- Collaborate effectively with hiring managers and cross-functional teams through the ATS to support seamless communication, candidate evaluations, and timely decision-making.
HR Administration
- Ensure the accurate completion, verification, and filing of all documentation related to new hires, terminations, and interbranch transfers (IBTs), maintaining full compliance with internal HR processes.
- Manage the offboarding process by coordinating the collection and processing of termination documentation, conducting follow-ups with line managers for outstanding items, and updating the termination tracker on a weekly basis.
- Manage the onboarding lifecycle by preparing offer letters, induction schedules, and welcome packs, ensuring timely follow-ups with line managers and maintaining an updated newemployee register each week.
- Administer employee movements on the ESS system, including linking new employees,
managing transfers, adjusting manager permissions, and ensuring correct workflow group allocations.
- Provide cross-functional HR support to the Skills Development, Payroll, Health & Safety, and Training teams as required, ensuring seamless coordination across HR operations.
- Manage the HR support inbox by responding to queries promptly, ensuring proper document filing, and escalating matters to the appropriate stakeholders when necessary.
- Liaise with HR Administrators to follow up on outstanding documentation related to employee movements, ensuring timely submission and adherence to HR policies and procedures.
Disciplinaries and CCMA
- Provide guidance to line managers on the correct formulation of charges and written warnings.
- Initiate disciplinary hearings, including preparing charge sheets, compiling evidence, and presenting cases in line with company policy and labour law.
- Advise managers on disciplinary procedures and recommend appropriate corrective actions in line with company policies and labour legislation.
- Maintain accurate records of all disciplinary and CCMA cases, including applications, case progress, and status updates on internal tracking spreadsheets.
- Manage and update the HR Executive’s Disciplinary and CCMA calendar, ensuring all key details such as dates, times, venues, and allocated roles (Chairperson, Initiator, etc.) are correctly captured.
- Capture and update outcomes of disciplinary hearings and CCMA matters on the People system.
- Draft Verdicts and Sanction letters for disciplinary hearings chaired by the HR Executive.
- Upload counselling records, warnings, and all related documentation onto the People system, Digital Cabinet, and employee personal files.
HR Reports
- Produce comprehensive monthly, quarterly, and annual HR reports, ensuring data accuracy, trend analysis, and alignment with strategic business requirements.
- Compile and distribute the full Staff Complement Report to senior management, highlighting headcount changes, vacancy movements, and workforce trends, and track feedback for further action.
- Consolidate disciplinary and CCMA statistics, gathering status updates from line managers and preparing summary dashboards that support labour relations decision-making.
- Ensure timely submission of all staff movement reports—including new hires, terminations, and interbranch transfers (IBTs)—to Payroll, verifying accuracy and compliance with processing deadlines.
- Update and maintain detailed HR processing reports, including Temporary Staff Registers,
Foreign National Reports, and Monthly Onboarding/Termination Overview, and analyse trends for risk or compliance concerns.
- Link and update employee status changes across all HR categories (Skills Development,
Employment Equity, Position Changes, etc.), ensuring accurate reporting for audits and legislative submissions.
- Build and deliver advanced HR metrics and presentations for leadership, covering areas such as recruitment efficiency, turnover rates, onboarding activity, disciplinary cases, training spend, and attendance patterns.
- Generate time and attendance analytics to support payroll accuracy and operational workforce planning, including absence trends, overtime analysis, and compliance monitoring.
- Support compliance and audit preparation by compiling structured, audit-ready HR documentation and ensuring all employee data is updated across HR systems (People System, ESS, Digital Cabinet).
Time and Attendance
- Oversee the full Time & Attendance function by monitoring, validating, and reconciling employee timekeeping data on the Uniclox system, ensuring accuracy and compliance with company policies and labour legislation.
- Conduct detailed analysis of attendance patterns, including absenteeism, lateness, overtime, shift adherence, and leave utilization, and provide insights to management for performance and workforce planning.
- Review and resolve timekeeping discrepancies by liaising with line managers, Payroll, and employees, ensuring all corrections are approved, documented, and captured before payroll deadlines
- Generated detailed attendance reports to assist in timely and accurate payroll processing.
- Ensured timekeeping practices complied with labour laws and internal policies, using Uniclox reports for audits and compliance checks.
- Maintain system integrity by managing employee profiles on Uniclox, including user setup, access control, permission updates, and workflow configurations aligned with organisational structures.
- Support audit and compliance requirements by preparing time and attendance reconciliation reports, ensuring that all supporting documents are up-to-date and accurately filed
Performance Reviews (Monthly, Annual Increase & DAPB):
- Oversee and administer the full performance management cycle, including Monthly Reviews, Annual Increase Assessments, and DAPB processes, ensuring alignment with organizational performance standards and timelines.
- Manage the initiation, activation, and closure of performance reviews on the HRIS, ensuring accurate setup of new employees and timely removal of terminated employees from review workflows.
- Generate and analyse performance review status reports, consolidating completion rates,
tracking outstanding actions, and providing executive-ready summaries for the HR Executive and senior management.
- Proactively follow up with line managers and employees regarding incomplete reviews, ensuring accountability, compliance, and consistent application of the performance management framework.
- Provide guidance and support to managers and employees on navigating the ESS performance module, assisting with password resets, user setup, system access, and troubleshooting functionality issues.
- Prepare consolidated performance insights and metrics to support HR Executive decision making related to performance outcomes, talent identification, salary adjustments, and development planning.
- Maintain accurate digital records of all performance documentation across HR systems (ESS, People System, Digital Cabinet), ensuring audit readiness and adherence to governance requirements.
Training and Development
- Support the coordination and administration of the organisation’s Training and Development function, ensuring all training activities align with the Skills Development strategy and legislative requirements.
- Verify training-related financial transactions by reviewing GL training expense reports, ensuring accuracy, correct allocations, and compliance with the organisation’s training budget and financial policies.
- Classify and capture all training applications under the correct training categories, levels, and types, ensuring accurate reporting for Skills Development and audit purposes.
- Conduct research on internal and external training programmes, comparing providers, costs, and curriculum relevance to support proactive skills planning and organisational capability building.
- Compile annual training spreadsheets, Skills Development reports, and costing documentation for internal audits, external audits, and SETA submissions, ensuring full compliance and audit readiness.
