The Opportunity

We're hiring an Executive Assistant to be the operational right hand to Elena. You'll manage the day-to-day of a busy real estate portfolio — properties, people, and the details that keep everything running smoothly.

This is a newly created role to meet the demands of a rapidly expanding portfolio and a team that keeps raising the bar. It's hands-on and high-trust, well suited to someone early in their career who wants real exposure to how a top-performing real estate business operates. You'll learn fast, take on real responsibility from day one, and grow with the team as it scales.

What You'll Own

  • Portfolio operations: You keep day-to-day management of 300+ properties moving — coordinating showings, vetting tenants, and processing applications with consistency and care.
  • Leases and tenant relations: You manage agreements, renewals, and tenant communications end-to-end, making sure every interaction reflects the team's standard of service.
  • Property inspections: You're the eyes on the ground for move-ins, move-outs, and routine walk-throughs across the GTA.
  • Maintenance coordination: You own the relationship with contractors and vendors, keeping properties well-maintained and resolving issues before they escalate.
  • Listings and market prep: You work alongside Elena to get properties show-ready, handling staging coordination and MLS setup with attention to detail.
  • Financials and reporting: You track rent, manage arrears, and prepare clear, timely updates that keep property owners informed and confident.
  • Compliance: You keep the team aligned with the Ontario Landlord and Tenant Act, flagging issues early and ensuring nothing falls through the cracks.

What We're Looking For

  • Highly organized and proactive: You manage competing priorities without losing the details, and you take ownership without being asked twice.
  • Strong communication skills: Whether you're negotiating with a contractor, responding to a tenant, or briefing a property owner, you're clear, professional, and reliable.
  • Comfortable with technology: You pick up new tools quickly and are at ease with property management software, MLS, Google Workspace, and Microsoft Office.
  • Flexible availability: Our core hours are Monday to Friday from 9am to 5pm, but real estate has its own schedule. Occasional evenings and weekends are part of the role, as is a valid driver's license and reliable vehicle.
  • Bonus: Property management or real estate experience is an asset, but we care more about drive, judgment, and a genuine interest in the industry.

Compensation and Benefits

  • CA$75,000–$90,000 annually, based on experience.
