Commercial Executive – Export & Import Operations - KEI Industries Limited

• Plan export shipments and factory dispatches, allocate containers and assign tasks to vendors — production teams, transporters, freight forwarders and Customs House Agents (CHAs) — as per the shipment schedule; coordinate bookings with forwarders to secure vessel space.
• Manage end-to-end cargo movement with transporters and CHAs — pickup, container placement, document submission, customs and terminal gate-in, customs clearance, gate pass and Let Export Order (LEO) receipt — through shipment handover, with real-time tracking.
• Coordinate with CHAs on VGM verification on ODeX, Forwarding note and TR confirmation, and cargo handover to the shipping line before cut-off; share regular reports with internal stakeholders, including Marketing.
• Prepare and verify Commercial Invoices, Packing Lists, Cost Break-up Sheets, Advance Authorisation consumption statements and Shipping Instructions (SI); obtain and verify Bills of Lading (BL) after Shipped on Board (SOB).
• File Shipping Bills under Duty Drawback, RoDTEP and Advance Authorisation; prepare Container-Wise Details (CWD) and Verified Gross Mass (VGM) before cut-off, and obtain and verify the forwarding note for container handover and inland haulage.
• Track outstanding payments and overdues; align on Letter of Credit (LC) terms, billing and cost approvals.
• Ensure material availability, production readiness and dispatch planning in line with the shipment schedule.
• Ensure adherence to export regulations and contracts, and product certifications and compliance.
• Ensure compliance with DGFT, GST and ICEGATE requirements, customs duty and export incentives (Duty Drawback, Advance Authorisation, RoDTEP).
• Process lodgement of bills against export payments; manage payment adjusments and e-FIRC adjustments and AD transfer of bills; close outstanding Shipping Bills in EDPMS.
• Maintain the shipment payment tracker (GR submission status, lodgement and adjustment reference numbers, payment entries, adjustment details, FIRC and BRC status).
• Coordinate with Purchase and Planning teams on Purchase Orders (POs) and upcoming imports; plan and monitor shipments from PO release until goods arrive at the company warehouse.
• Act as primary contact for CHAs and freight forwarders to file Bills of Entry (BOE), Calculate tariffs, customs duties and import taxes as per HSN; pay duties and taxes, and clear goods through ports and airports; prepare & verify Bills of Lading, Commercial Invoices, Packing Lists and Certificates of Origin.
• Coordinate with Finance for timely payment to avoid port penalties; share Daily Shipment Reports (DSR) with stakeholders.
