A Fleet Assistant (also called Fleet Coordinator or Fleet Clerk) supports the day to day management of vehicles and transport operations in an organization. Below are the key roles and responsibilities:

Vehicle Coordination & Scheduling
Assist in assigning vehicles to drivers and departments
Monitor vehicle availability and usage schedules
Ensure efficient allocation of vehicles to meet operational needs
Maintain up to date records of all fleet vehicles
Track vehicle registrations, insurance, and licenses
Keep logs of mileage, fuel consumption, and maintenance history
Organize driver records (licenses, certifications, etc.)
Schedule routine servicing, repairs, and inspections
Follow up with garages or service providers
Track maintenance costs and breakdown incidents
Ensure vehicles are roadworthy and compliant with safety standards
Fuel Monitoring & Control
Track fuel usage and consumption trends
Record fuel purchases and reconcile fuel logs
Identify unusual consumption patterns to prevent misuse
Driver Coordination
Maintain communication with drivers regarding assignments
Monitor driver behavior (safety, compliance, punctuality)
Support in driver scheduling and shift planning
Assist in handling driver issues or concerns
Prepare regular reports (fuel usage, maintenance, utilization)
Update fleet management systems or spreadsheets
Assist in analyzing data for cost efficiency and performance
Ensure vehicles meet legal and regulatory requirements
Assist with vehicle inspections and audit preparation
Promote adherence to safety policies and procedures
Incident & Breakdown Handling
Record and report accidents or incidents
Support theworkshop Manager in daily operations
Handle invoices, payments, and vendor paperwork
Assist in procurement of spare parts or new vehicles
