Regional HR Administrator at Habitat for Humanity International (2019-11 – Present)
Under Habitat for Humanity International's Human Resources, Learning and Organizational Development (HRLOD) department overseeing the Asia Pacific (APAC) region covering fourteen (14) countries. This is in partnership and coordination with our Global People Team (GPT) headquartered in Atlanta, Georgia, USA. With projects partnered and sponsored by other agencies (United Nations (UN), Asian Development Bank (ADB), Department of Foreign Affairs and Trade (DFAT), European Union (EU), I support a wide range of HR-operational functions in an employee's life cycle within the organization.
I am a full HR Generalist. Countries our office has oversight- Australia, Bangladesh, Cambodia, Fiji, HongKong, India, Indonesia, Japan, South Korea, Nepal, New Zealand, Philippines, Singapore, and Vietnam.
- Onboarding: Coordinate all processes related to background checks and references
- Facilitate New Hire Orientation and scheduling of onboarding sessions
- Liaise with IT and Admin for laptop, equipment and access provisions
- Global Mobility / Expatriate Management: Manage relocation and repatriation of expatriates
- Coordinate visa and work permit applications
- Support expatriates on housing, dependent education and schooling, and local integration
- HR Strategy Implementation: Ensure strategic global HR and departmental initiatives are monitored, and progress is reported specifically for the region
- Support data collection and visualization of ongoing HR strategic initiatives (e.g. workforce planning, succession planning, etc.)
- Payroll, Compensation and Benefits Administration: Ensure accurate and timely processing of payroll
- Coordinate with external payroll vendors on payroll instructions, fund requests, and anything related
- Ensure staff enrollments to benefits (Life Insurance and HMO)
- Process retirement claims upon staff separation and actual coming-of-age in retirement
- Performance Management: Ensure probationary, confirmation of employment, performance improvement plans (PIP) are processed and coordinated
- Coordinate annual performance appraisal cycles and timelines
- Employee Engagement: Support roll-out of pulse checks, and focused group discussions on employee engagement survey (EES) results for the departments in the region
- Promote wellness programs and work-life balance initiatives (e.g. Teambuilding, Year-end celebrations, etc.)
- Employee Relations: Ensure Department of Labor and Employment (DOLE) reports are submitted on time. I am a certified Safety Officer (SO2) and am allowed to submit workplace-related reports
- Support investigations and record keeping of labor-related documents such as position papers, motions, etc.
- HR Policy: Support on the timely reviews of employee handbooks in the region (currently completed for the Philippines, Singapore, India, and Bangladesh, & ongoing reviews for other countries stated above)
- Recruitment / Talent Acquisition: Support and manage end-to-end recruitment processes from intake meetings, Job posting, longlisting, shortlisting, interview scheduling, candidate selection to preparation and serving of offer letters. Liaise with hiring managers on all recruitment-related processes
- HR Analytics: Collect, analyze and interpret data to be reported back into the headcount PowerBI Dashboard I have developed
- Monitor and add-in more HR metrics for more data-driven decisions for leadership
- Dashboards: Headcounts, Staff Locations, Diversity, Recruitment (up to Time-to-Fill), Nationalities, etc.
- HRIS and HR Information Management: Support data privacy reviews to be aligned with EU's General Data Protection Regulation (GDPR) and local Data Privacy laws
- Super User for all HR-related systems (Applicant Tracking System, Background Checks, Power Apps, Local Statutory Accounts)
- Ongoing Workday implementation
- Ensure highest level of data protection for employee records
- Safety, Security and Safeguarding: Department's focal point on safety, security and safeguarding concerns
- Promotion of Safeguarding policies and awareness
- Employee and Vendor Contracts Management: Manage contracts and relationships with vendors
- Ensure timely renewals of employee contracts and vendors
- Secure all necessary internal and external approvals have been obtained
- Employee Communications: Monitor the HR's shared mailbox and assign concerns received to the correct personnel
- Relay all important information using shared mailbox/email from drafting to dissemination of internal HR announcements
- Coordinate town halls, employee briefings, and change management programs
- Learning and Development: Support identified training needs from performance development goals recorded
- Coordinate internal and external programs
- Support annual leadership development program logistics for participants in the region going to the US
- Knowledge Management: Maintain SharePoint repository of HR policies, templates, and documents
- Ensure accessibility and version control of intranet documents
- Coordinate with our HQ Knowledge Management Team on archiving
Admin at WamRus Group of Companies (2016-10 – 2019-09)
- General Administration: Full cross-departmental support to Human Resources, Office, Engineering, Mall Operations and Housekeeping. This involved coordinating and facilitating communication between departments, ensuring seamless operations, and contributing to the overall efficiency and productivity of the organization
- Tenant Coordination: Working with store owners and tenants to address their needs and concerns. This includes managing lease agreements, coordinating maintenance requests, and ensuring compliance with mall policies
- Support the HR department in arranging the housekeeping team's schedules. Submit biometrics logs for payroll purposes
- Drive Office management concerns supply, stocks, and its replenishments. Coordinate with Purchasing on procurement of housekeeping-related items such as tissues, mops, rags, chemicals, etc.
- Support on Mall Operations by generating reports on foot traffic, tenant charges, and maintenance of tenant Masterfile
- Process all payment-related matters involving housekeeping, security, agency fees, utilities, etc.
- Regular upkeep of mall infrastructure including escalators, elevators, electrical, plumbing making sure that all are functioning
- Conduct daily rounds (walking around) to inspect areas in need of repair, ensure the mall is clean and hygienic. This includes regular checking of common areas, restrooms, and other high-traffic areas. Parking management, where I provide an oversight of the parking facilities, if they are well-maintained, and accessible. Support recording of daily recording of parking fees, security and traffic flow
Recruitment Associate at Nezda Global (2016-05 – 2016-09)
- Gauge communication skills by conducting Phone Interview to applicant and disclose important information like Client's Salary Package, Account, Line of Business and Start Dates
- Invite / Endorse sourced applicants / candidates either directly to client's site or to our company's office and provide Shuttle Service to them to business partner's site
- Conduct Initial Hiring process by making the applicant fill-out an application form for easier tracking and Interview applicant on site to confirm details
- Attach Endorsement Slip to candidate's application form to make sure that applicant will be tagged as an endorsement by the company
- Encode applicant's details to self-made tracker using Microsoft Applications like Word and Excel (e.g. Name, Contact Details & Remarks)
- Send candidate's information like Name, Contact Details, Location, Expected Salary, Availability and Work Experience to Recruitment Supervisor to be sent to client
