Control debtor's account as per agreement and in adherence with credit management policies and procedures to minimize bad debts.

- Investigate pricing difference, quantity disputes, deduction (due to settlement rate changed)
- Reporting & Aging Analysis
- Prepare daily/weekly aging report and share collection updates with management
- Following up for customer outstanding payments; short payments; over credit limit
- Issuing customer statements (Month end / on request from the customer)
- Completing the journal controls to ensure that all accounts are accurately balanced
- Issuing the warning letters to defaulting customers
- Communicating with Customer sales representatives (CSR); Accounts managers in these instances
- Downloading of overdue report for marketers department for collection purposes
- Downloading of baseline date report, to keep the record of invoice and deliveries that were changed to a new month
- Downloading of VF31 reporting daily for invoices to reach the customers on time and for queries to be sorted before month end
- Downloading of GL entries for Financial Accounting department
- Marking sure interest is charged to all the customers that paid late
- Processing and making sure corrects amounts of Rebates are process on customers account on time
Credit Controller USAVE - Vector Logistics
(2020-10 - 2021-09)
To facilitate the achievement of customer collection targets, essential to the profitability of the Company. To manage overdue accounts, reduce the company's risk and minimize losses.
- Preparing the manual statement for USAVE
- Preparing the necessary journals and credits
- Checking and uploading RSA statement on Shoprite Portal
- Working on the CMGJ (all outstanding claims and invoices) for USAVE
- Making sure that the CMGJ is kept up to date on regular basis
- Resolving queries that might come up during the month
- Following up with the claim's clerks for all the outstanding claims at the depot
- Dealing with customer queries
- Sending unpaid invoices to USAVE DAO to investigate why they have not paid
- Running auto clearing on weekly basis
- At the month end check to see which claims can be matched
Credit Controller - Distell LTD
(2010-06 - 2020-10)
The effective control of the debtor's book within the Coastal Region to maximize sales by providing excellent customer service whilst minimizing risk by engaging best credit practices as outlined in the Distell Credit Policy. The completion of all reasonable tasks to ensure the operational efficiency of Distell Ltd.
- Ensure Correct Allocation of payments
- Follow up with relevant DAC staff for outstanding credit notes
- Liaise effectively with internal and external customers and attempt to create win resolutions to problems within authority levels
- Print Credit Representative Allocation (ZF101) report and clear payments from same
- Query unknown deposits with bank to ensure clearing within 5 days
- Allocate payments against specific invoices and bring back claims/short payments with correct ageing
- Timeous follow-up of non-payments
- Identify overdue payments by using age analysis and overdue Cash On Delivery report
- Phone delinquent customers to obtain reasons for nonpayment and commitment to pay
- Formalize payment arrangement within authority level in writing (Acknowledgement Of Debt) or escalate to CAM
- Place account on stop supplies if customer defaulting from terms
- Reduce credit limit or terms if customer cash flow is dubious
- Hand Over to collection agent if unable to reach satisfactory resolution regarding payment with customer and follow up
- Give file to Customer Account Manager for hand over to attorney if Collection agent is unsuccessful
- Go through claims & Queries stated on Remittance Advice, identify reasons therefore (pricing claims, POD's needed, Stock return) and follow up until resolved
- Maintain High Level of Customer Service Regarding Queries
- Provide copy documentation to customer upon request within 24 hour
- Effect Credit/Debit entries for adjustments
- Park debit or credit entries (such as Payment misallocation corrections, settlement discount) within authority level
- Opening of new customer master files and maintenance thereof
- Ensure that credit application forms are correctly completed and copies of liquor license, Identification Documents are attached
- Obtain trade references/Trade union Credit reports
- Give all documents to senior Customer Accounts Controller/Customer Account Manager
- Open customer file and maintain same
- Advise depots/sales of new account details
- Send welcoming letter/messages to new account details
- Releasing of orders on credit referral
- Check Blocked Sales & Distribution documents (VKM1) report every hour
- Release or reject orders timeously to ensure deliveries not adversely affected & depot deadlines for load compiling adhered to
- Ensure that the company's Risk and Safety Policy is adhered to
Debtors Clerk - ABI
(2008-07 - 2010-06)
To ensure that account customers terms of trade are managed in order to minimize risk and optimize sales and facilitate customer service excellence.
- Daily download of bank statements & re-run of previous day's bank statements
- Preparation of allocation sheet & submit to Finance for SSC to contra/clearing
- Download, analyze & provide feedback to Channel Managers, Distribution, Credit Supervisor & Credit Manager of the no supply reports, overtrading/over limit reports, aged trial balance, sales accounting (download and balancing)
- Follow up of discrepancies/errors with customers & drivers
- Check for accuracy, completeness & validity of all invoices posted against customer's account
- Investigate and resolve any queries
- Process all payments received
- Prepare reconciliation on customers account when required
- Follow up for customer outstanding payments; short payments; over credit limit
- Generate and issue customer statements
- Complete journal controls to ensure that all accounts are accurately balanced
- Put or lift customers on No Supply as instructed by the credit supervisor
- Issue warning letters to defaulting customers
- Communicate with Account Managers, Channel managers in these instances
- Follow instructions from the Regional Credit Manager and Credit Supervisor
- Management of the Aged Trial Balance and work out days ageing
- Monthly/weekly statement run
