• Preparing and capturing Budget Virement (Transfer of funds between account numbers)
• Preparation of monthly Report in terms of MFMA Section 71 Reports
• Opening and closing of daily transactions in Vote accounts
• Providing all the Municipal Departments with all information regarding the budget, spending on votes, addressing and resolving issues arising from the reports (Monthly Budget Monitoring)
• Assist with all budgeting administration
• Issued quote numbers and Tender numbers requested by the user department
• Advertised quotation and Tenders on the website, notice board and Newspapers
• Attending site briefing meeting
• Attending quote opening
• Evaluate all the quotes document received
• Captured order on Venus's system
• Issued orders and sent to the service provider and to the user department
• Trace outstanding orders and seek reason for non-delivery
• Receiving Orders from SCM section and attach invoice to an order and send it to user department for signatories' purposes
• Ensuring all payment documents signed by delegated authorities
• Capture Good Received Notes (GRN's) into Venus's system
• Capture Invoices into Venus system
• Liaising with procurement buyers and user department to resolve payment queries
• Run creditors payment within 30 days of receipt of invoice
• Print Cheques and Remittances
• Follow up on outstanding invoices from suppliers and ensure payment within the MFMA framework
• If through the process of payment of creditors, wrong accounts or votes were debited/ credited, prepare journals to correct the situation
• Assisting Payroll officer when requested
• Printing, checking and distributing the salary advice to individual members
• Assist employees to make changes to their details e.g., Banking details and pension
• Check information adjustments and calculations of third-party payments prior to extracting and forwarding the salary report and schedules for approval
• Administers the regulations and procedures relating to the payroll/ remuneration of employees in terms of their respective conditions of employment
• Ensures that employees time and attendance records and leave recording, in terms of their respective conditions of employment, are correctly maintained
• Opening and closing (disconnecting) of consumer accounts
• Capture changes about consumer's personal details eg. Address, telephone numbers
• Attending to the consolidation of Debtor Accounts
• Generating and forwarding printouts and completing procedural forms for arrangements of refunds
• Processing transactional data referring to specific transactional documentation and recordings, attending to amendments (Dr/Cr Journals)
• Reconciling Debtor accounts and verify tariffs against tariff structure
• Create Stands & Sectional Titles as per Deeds Office information when applicable
• Calculating, reviewing & adjusting additional deposits
• Reconciliation of water insurance premiums per debtor monthly and liaising with Finance Expenditure Section with regards to payments
