Supply chain directors' office duties

• Providing high level administrative and logistical support to the Director as an office Manager
• Compiling and sorting quality assuring and printing quotations per request for RFQ
• Creating spreadsheets for quotations and price schedules
• Take minutes in director's meetings
• Exhibiting qualities of professionalism and quality check of all Hospital documents
• Capturing electronic documents and submission of documents to different Directorates
• Organizational skills and time management skills
• Attending Quotation Evaluation and Quotation Adjudication committee meetings
• Leading and managing the Chairpersons office

Acquisition (Supply Chain)

• Sourcing of quotations from suppliers on the data
• Receiving quotations
• Drafting the final memorandum for awarding of quotation for request above R30 001.00
• Draft comparative schedule for quotation above R30 001.00 by applying the PPPFA
• Communicating with clients on the status of their request
• Receiving samples from suppliers
• Ensure compliance with Supply Chain Management policies
• Serve as secretariat in Bid Committee

Logistics and Warehouse (Supply Chain)

• Responsible for receiving stock from the suppliers
• Responsible for issuing stock to the end users
• Responsible for capturing stock in and stock out. Responsible for stock taking
• Responsible for making report for every month. Keep and maintain the attendance register
• Managing and controlling stationary office. Calculating monthly and yearly costs

Transit (Supply Chain)

• Expediting of Purchase Orders to suppliers for delivery of stock
• Executing 3 way match of purchase order, invoice, an delivery note with RSL01
• GRV good received on SAP system for payment
• Rejection of invoices that do not have complete documentation
• Calling suppliers in communication of purchase order
• Receiving stock
• Signing invoices and distributing copies to the relevant departments
• Investigating purchase orders on SRM system for validation
• Doing weekly and monthly reports

Assets Management (Supply Chain)

• Maintaining assets register
• Receiving Assets
• Responsible for moving assets that belong to the institution
• Giving reports about assets in the institution
• Responsible for assets verification
• Responsible for barcoding assets
