- Greeter: Welcome voters, confirm voters are in the correct voting station, manage line-ups, answer inquiries, and provide accessibility supports
- Voter Services Clerk: Verify identification, manage registrations and issue ballots
- Ballot Box Clerk: Ensure efficient ballot casting, confirm ballots are properly issued and placed in the appropriate ballot box

Reporting to the Team Lead of Appeals Secretaries, the Appeals Secretary provides administrative services for the Appeals Officers, Hearing Chairs, Vice Chairs and hearing panels.
- Responsible for providing administrative and clerical services for the Appeals Officers including appeal preparations before hearings
- Setting up hearing rooms and special equipment, if required
- Setting up, operating and monitoring the digital audio recording equipment during hearing proceedings when required
- Greeting parties at in-person and combination hearings and introducing them to each other before the hearing begins
- Copying and distributing any additional information brought to the hearing for the hearing panel to consider either prior to, during or after the hearing
- Communicating special circumstances to the Appeals Officer for file management (e.g. last minute submissions at the hearing, etc.)
- Preparing a Documents Received at Hearing form for submissions received when required and scanning them to the official file as well as typing quotes, editing and proofing the hearing panel's decision
- Advanced word processing, document formatting, editing and proofreading a variety of Appeals Commission documents, such as: Template Notice Letters, Template ADP Letters, List of Documents, memoranda, letters, decision documents, etc
- Types and Mails the ADP Letters with Enclosures
- Types the List of Documents and places it on top of the ADP and delivers it to Administrative Support for coordination of photocopying through the photocopy centre
- Matches the copies to the retained AC files, types the ADP letter and mails ADP to parties and delivers panel copies of ADPs along with the AC file to the Appeals Officer
- Updates Appeals Commission Electronic System (ACES) to 'CD Shared' status on the day the ADP is mailed
- Prepares the hearing room, ensuring that the necessary supplies (water, name plates, etc.) are available
- Ensures that teleconference/digital audio recording/special equipment (e.g. FTR) is set up in the hearing room and fully operational
- Ensures that all parties are on-line prior to the hearing in the event of a teleconference hearing
- Greets attending parties to in-person appeal hearings in the reception waiting area in a professional manner
- Guides the parties into the appropriate hearing room
- Explains the hearing process to the parties
- Introduces the parties to one another and informs the panel members when the parties are ready to proceed
- Photocopies and distributes any additional evidence brought by a party to the hearing for the hearing panel to consider
- Informs the assigned Appeals Officer of any new submissions or circumstances occurring at the hearing (e.g. last minute submissions provided at the hearing, requests for travel and subsistence expenses, changes of address, provisions of a wage loss form to the parties, etc.)
- Sets up and tests the digital audio recording equipment prior to a hearing
- Operates and monitors the recording equipment during the entire hearing
- Ensures audio records and log note files are properly archived to the network file server immediately after the hearing is finished
- Types/formats and proofs quotations in the decision draft document
- Types/formats and proofs policy and legislation in the decision draft document
- Ensures decision documents are word processed accurately, efficiently and in accordance with the approved Appeals Commission Style Guide and the Decision Format Protocol
- Types, formats, edits the draft decision document and corrects typographical and grammatical errors
- Identifies any possible 'wording' changes to the Hearing Chair
- Identifies and informs the hearing chair of any wording that may 'identify' a party to the appeal
- Ensures all documents are signed, scanned, photocopied and ready for mailing and directs the final signed decision document to the appropriate parties
- Ensures the document is publication ready in accordance within an established checklist
- Forwards the relevant information to the WCB following the finalization of the Appeals Commission decision
- Forwards the Appeals Commission file to the AC File Room ensuring it meets filing standards
- Destroys transitory or duplicate information
- Accurately enters and updates status information into ACES throughout each stage of the appeals process
- Acknowledges appeal

- Uploads decision to CanLii website
- Checks unpublished decisions to ensure they contain the 'unpublished' watermark
- Notes are entered into ACES to indicate that the decision is unpublished and the correct documentation is placed on the file
- Provides other administrative duties as required
- Responsible for back coverage for vacation, earned days off, unplanned absences (illness, special leave) for Intake Clerk position
- Answers all incoming calls using a multi-line switchboard
- Provides general information about the appeal process and directs clients to information resources (i.e. the Appeals Commission's website, Rules of Procedure or A Guide to the Appeals Commission)
- Directs callers to the appropriate recipient using the information available in ACES (Appeals Commission Electronic System)
- Checks voicemail every morning and forwards messages to intended recipients
- Greets all clients/visitors at the front desk with professionalism
- If a visitor arrives for a hearing, places a check-mark beside their name on the hearing list located next to the switchboard
- If a visitor is not on the list, adds their name to the list
- Ensures the reception waiting area has an adequate supply of coffee/water and is kept tidy
- Follows security contact procedures located in the reception manual in the event of a threat or potentially harmful situation
- Manages, prepares and distributes incoming/outgoing mail
